Information we collect and use

When you consent to text messaging with Psychiatric Consulting of the Woodlands through Charm EHR, we collect your mobile telephone number, name, messaging preferences, consent records, and message content and delivery information.

We use this information to send and respond to appointment reminders, scheduling requests, office updates, and other administrative communications; maintain consent records; and honor opt-out requests.

This SMS program does not send marketing or promotional messages.

Your consent

We obtain your permission before enrolling you in ongoing SMS communications. Providing a telephone number alone does not constitute consent to receive these messages. Participation is voluntary, and consent to text messaging is not a condition of receiving care or purchasing services. You may call our office to arrange an alternative communication method.

Information sharing

We do not sell, rent, or share your mobile number, SMS consent, or opt-in information with third parties or affiliates for their marketing or promotional purposes.

We may provide information necessary to operate our messaging program to Charm EHR and service providers supporting message delivery, storage, and administration. These providers may use that information only to perform services on our behalf, not for their own marketing. Information may also be disclosed when required by applicable law.

These restrictions on mobile information and SMS consent apply even if another practice policy describes broader information-sharing practices.

Message frequency and charges

Message frequency varies based on your appointments and communications with our office. Message and data rates may apply according to your wireless plan. Message delivery is not guaranteed.

Opting out and obtaining help

Reply STOP to unsubscribe from SMS messages. You may receive one final message confirming your request. After opting out, you will no longer receive messages through this SMS program unless you consent again.

Privacy and security

We use reasonable administrative, technical, and physical safeguards to protect information used in our messaging program. Ordinary SMS messages may not be encrypted and may be visible to anyone with access to your telephone, account, or notifications.

Please do not send sensitive clinical information, medical records, or photographs by ordinary text message. Use our secure Charm EHR patient portal or call our office for clinical matters.

We retain messaging information and consent records as needed to administer the program and meet applicable recordkeeping obligations.

Medical and emergency communications

Text messages are not continuously monitored and must not be used for urgent medical needs or emergencies. For an emergency, call 911 or go to the nearest emergency department.

This SMS policy supplements, and does not replace, our Notice of Privacy Practices.
